Administrative Assistant for the International Project Office (IPO) of Future Earth Coasts – China

 

FEC and ECNU are seeking a candidate to fill the position of the Administrative Assistant for IPO-China (State Key Laboratory of Estuarine and Coastal Research, East China Normal University, Shanghai).

The responsibility of the Administrative Assistant includes:

1.Liaise with FEC IPOs and relevant agencies and members of FEC; Respond to general correspondence; Facilitate regional promotion of FEC’s science plan and research strategy;

2.Manage FEC internal communication channels (i.e. email, OnlyOffice, Basecamp, etc.); Collect and collate news items to publish monthly FEC newsletters; Manage FEC WeChat Official Account and edit and publish news items; Manage and update the FEC website as well as assist in publishing information on FEC-related websites; Update overseas Social Media platforms (e.g. LinkedIn); Maintain and update the FEC contacts list;

3.Facilitate organization and coordination of meetings and activities of FEC and the UN Decade Mega-Delta Programme such as communication and agenda arrangement; Facilitate organization and coordination of meetings and events in the FEC network (e.g. Fellows Sessions and FEC Dialogue) to strengthen communication and cooperation among FEC members;

4.Attend monthly FEC IPO meetings, bi-monthly FEC ExCom meetings and other work meetings, and compile minutes;

5.Organize and manage archives and records of FEC meetings/events; Assist the executive officer in preparing FEC annual and monthly reports;

6.In charge of the management of interns; Coordinate task assignment including the design of FEC promotional materials, translation and edition of news items on FEC WeChat Official Account;

7.In charge of administrative matters such as invoice processing, budget management, travel bookings, and reimbursements.

 

Job Requirements:

  • Have a Master’s degree or higher in marine sciences, geography, ecology, environment and other related disciplines with relevant research experience or knowledge background;
  • Experience in event planning, project coordination, editing, designing, and exhibition set-up is desirable;
  • Have excellent skills in written and spoken English and communication;
  • Work conscientiously and proactively with strong execution ability; Have the ability to multi-task as well as work well independently.

We offer a challenging and creative working environment. The starting salary will be around 150,000-200,000 in CNY per year, depending on the relevant skills, knowledge and experience that the candidate brings to the position. In addition, medical insurance and other welfare benefits are provided in accordance with ECNU regulations and Shanghai local policy.

About SKLEC:

East China Normal University (ECNU), Shanghai, China hosts and treasures the well-known State Key Laboratory of Estuarine and Coastal Research (SKLEC). The laboratory was established by the State Planning Commission of China in 1989 and went into operation in December 1995. Presently, SKLEC employs 113 fulltime faculty and staff members in the laboratory.

SKLEC has been strongly involved in providing solutions to resolve theoretical and practical problems encountered in the very diverse and large scale coastal developments of China, such as a national comprehensive survey on coastal resources, the construction of harbors and ports, channel regulations, the protection of coastal wetlands and the implementation of engineering structures.
